Project / Construction Manager

PRIMARY RESPONSIBILITIES

  • Create client presentations and proposals, including scopes of work, schedules, renderings, samples, floor plans and elevations.
  • Coordinate the efforts of all parties involved in the project, including clients, architects, interior designers, consultants, contractors, subcontractors, specialists and laborers.
  • Schedule and assist with multiple walkthrough site visits with many different trades.
  • Create project timelines from start to finish, communicating timelines to clients and subcontractors to ensure all timelines are met.
  • Schedule weekly meetings with all parties involved and create meeting agendas and minutes.
  • Manage, order and track items that are needed for individualized projects.
  • Provide crucial administrative and organizational support to the CEO including, but not limited to: maintaining billing, change orders, vendor pricing, and contracts for each project.

REQUIREMENTS

  • Degree in Interior Design, Architecture, or Construction Management
  • Acute time management and keen attention to detail.
  • Comfortable traveling to job sites and working in the field.
  • Professional maturity, consistent track record and strong interpersonal skills.

COMPENSATION

This is a full-time position. Pay is commensurate with experience.


Executive Assistant

PRIMARY RESPONSIBILITIES

  • Provide crucial administrative support to the CEO. Take initiative, coordinate across multiple projects, and make proactive decisions. 
  • Provide personal organizational support by managing and scheduling both professional and personal appointments.
  • General physical organization around the house and office, filing paperwork, ordering office supplies, scheduling and coordinating with cleaning crew, etc. 
  • Manage administrative documents as related to the office, apartment, car, insurance, etc. 
  • Assist with personal and professional follow-up emails, scheduling calls and meetings, confirming meetings and daily agendas, including personal appointments and reservations, and coordinating transportation to and from daily meetings.
  • Complete monthly travel and expense reports for CEO. 
  • Assist with scheduling job site walk-throughs with trades, including picking up/dropping off keys and letting trades in to job sites as needed. 
  • Assist with ordering supplies, appliances, light fixtures, tile, etc. for projects, and tracking deliveries to job sites. 
  • Organize, streamline, maintain and import company-wide CRM and shared company calendar. 
  • Maintain and update a comprehensive contact list of subcontractors. 
  • Provide administrative support to the office, such as ordering meals, printing blueprints, and scheduling car services for travel.
  • Take and report meeting minutes during team meetings and job site walk-throughs. 
  • Drive as needed, around NYC and to- and from- the Hamptons. 
  • Maintain CEO's technology with weekly updates and backups of all iPhone, tablets and computers. 

REQUIREMENTS

  • Minimum one (1) year related work experience as an EA. 
  • Preferred undergraduate degree in Interior Design, Architecture or Construction Management.
  • Excellent verbal, written and interpersonal communication skills.
  • Fluency with Microsoft Word, Excel and the Google Suite. Autocad and Adobe Creative Suite a bonus.
  • Acute time management and keen attention to detail.
  • Comfortable traveling to job sites, working in the field and being out of town overnight.
  • Professional maturity, consistent track record and strong interpersonal skills.
  • Willingness to be hands-on and ability to life 60 lbs.
